The pattern is always the same: someone gets excited about a new vertical form seal machine or a dried fruit packaging line, places the order, and only then realizes the refrigeration side can't keep up. The packaging equipment sits idle. Product backs up. Money bleeds.

This isn't about blaming anyone. It's about sequence. Refrigeration infrastructure comes first. Always.

Why You Should Trust This Warning

I've been handling commercial refrigeration orders for going on eight years now. In that time, I've personally made—and documented—four significant mistakes that cost us roughly $11,000 in wasted budget and delayed projects. Two of those mistakes involved food manufacturers who bought packaging equipment before confirming their cold storage specs.

In my first year (2017), I made the classic mistake of assuming refrigeration and packaging procurement could happen in parallel. That assumption cost us a client relationship and about $2,800 in rush-order corrections. I created our pre-check list after the third rejection in Q1 2024—the one where we installed a cold room for a candy producer who'd already taken delivery of a form fill seal machine that needed a higher ambient temperature range than the room could maintain.

The Real-World Sequence Problem

Here's what happened with that candy producer. They ordered a vertical form seal machine and a multihead machine from a packaging supplier. Delivery scheduled for six weeks. Meanwhile, they asked us to spec out a cold room for raw ingredient storage and finished product cooling.

We did. They approved. We installed.

Then the packaging equipment arrived. The multihead weigher needed to run in an environment below 65°F to prevent product clumping and seal contamination. Our cold room was operating at 55°F—perfect for storage, but the ambient air around the packaging line needed its own dedicated cooling.

Nobody had asked that question. Not us. Not the packaging supplier. Not the client.

They ended up running the multihead weigher at 70°F ambient for three weeks while we scrambled to add a spot cooling unit. Product quality dropped. They lost two batches of dried fruit packaging to moisture issues.

What I Learned (the Hard Way)

I assumed "cold room" and "packaging environment" were the same thing. Didn't verify. Turned out they require completely different refrigeration specs—one for storage, one for process cooling.

Learned never to assume the packaging equipment specs include ambient temperature requirements after that $4,200 incident.

Now, when a client mentions they're buying a candy packaging machine or upgrading to a multipond weigher, I ask one question before anything else: "What's the ambient temperature range required at the feed and weigh station?" Most of them don't know. That's the problem.

How to Get the Sequence Right

If I were starting a food processing facility today—whether it's dried fruit packaging, candy production, or anything in between—here's the order I'd follow:

  1. Map your product's temperature requirements through the entire process. Raw storage. Processing. Packaging ambient. Finished goods storage. They're not the same.
  2. Get the packaging equipment specs first—before you buy. Ask the supplier for ambient temperature tolerances at every stage: infeed, weighing (multihead or multipond), forming, sealing.
  3. Then size your refrigeration. Share those packaging specs with your refrigeration provider. If they don't ask about them, find a different provider.
  4. Leave 20% headroom on cooling capacity. You'll add equipment later. You always do.

To be fair, packaging suppliers aren't trying to hide this information. It's just not their primary concern. They sell form fill seal machines. They don't sell cold rooms. The gap between those two worlds is where mistakes happen.

The Small-Order Problem

Here's something that bothers me. Small food startups—the ones buying a single vertical form seal machine and a modest cold room—are the ones who get hit hardest by this sequence problem.

Why? Because larger operations have engineers who catch it. Smaller ones rely on the supplier to think of everything. And when you're ordering a $200 part or a $2,000 cold room panel, some vendors treat you like the order is too small to warrant a phone call about ambient temperature specs.

That's shortsighted. The vendors who treated my $200 orders seriously when I was starting out are the ones I still use for $20,000 orders. Small doesn't mean unimportant—it means potential.

If you're a small operation and your refrigeration provider isn't asking about your packaging line's temperature needs, push back. Ask them directly. If they brush you off, find someone who won't. The extra conversation costs nothing. The mistake costs thousands.

Boundary Conditions—When This Advice Doesn't Apply

I should add that this doesn't matter if your packaging room is already climate-controlled by a separate HVAC system. If you're running a multihead machine in a room that's independently cooled to 65°F, your cold room specs are a separate conversation.

Also, if you're packaging shelf-stable products that don't require cold storage at all—some dried fruit operations fall into this category—then refrigeration isn't your bottleneck. Don't over-engineer a solution you don't need.

And this was accurate as of Q1 2025 based on equipment specs I've seen in the U.S. commercial refrigeration market. Equipment requirements change, especially as packaging speeds increase and heat generation goes up. Verify current specs before committing to a design.

One more caveat: I'm a refrigeration person. Not a packaging engineer. If your multihead machine supplier tells you something different about ambient requirements, listen to them.
